Formatting The E-Mails :

How should I format my e-mails?

If you are using internet, you should be aware of general formatting rules.

We are giving you some tips about formatting of e-mails.

(a) Your e-mail should be fromatted to wrap your text after about 70-75 characters. This will keep your e-mail from looking disjointed. If you do not have a wrap around option then e-mail may look like this.

Dear Johny,

I am really interested in leasing out my flat but I need some more information about the person who is interested. Can you furnish me these infrmaton? I want to have a meeting with the person on Sunday morning at 9am in my house.

You can find the setting in the PREFERENCES option on the tool bar of your e-mail client. You can use your help menu for further details.

(b) Write an appropriate subject in the SUBJECT LINE so that the recipient knows what the e-mail is concerned with.

(c) Use capitalization and punctuation marks as in usual letters.

(d) Format you e-mail to be sent in plain text rather than in HTML, because some e-mail clients may not read HTML.

(e) You should write salutation or greeting for each new subject e-mail. But if you exchange several e-mail over the same topic it is better to avoid a greeting because it is as though you are carrying in a conversation. What you carry in conversations, you should not say hello each time you speak.

(f) Be precise, concise and clear.

(g) Don’t send uncessary attachments. If you can present all of the relevant information in an e-mail message, don’t attach a file repeating the same information.

When should I not send an e-mail?

Some subjects are so sensitive and that could have serious consequences and should not be dealt with through e-mails.

Matters relating to diciplinary action must not be sent or discussed through e-mails.

Matters that involve dispute of personal nature should also be avoided to be dealt with via e-mails.

Concerns about female friend can also be misused by the crooks, so better to avoid even such gossips also.

The complaint should always be made in writng. If you have sent an e-mail then its paper copy should also be sent for records.
