E-mail is much less formal than a written letter. E-mail are usually short, concise and to the point.

If you are sending an e-mail to an unknowe person, a simple HELLO or HI is adequate. In business e-mails you can use saluatation such as Dear Mr. Sharma or Dear Ms. Kim.

When writing a personal e-mail to someone you know well, feel free to write as if you are speaking to the person.

While writing business e-mail you should be formal and professional.

While writing e-mails it is always preferable to include a telephone number in your e-mail so that recipient can contact you on telephone if necessary.

Writing e-mail address is superflous as the recipient can just reply to the e-mail.

When replying any e-mail please eliminate all the irrelevant information. Only the text that is related to your reply should just be given that will save the recipient’s valuable time when reading your e-mail.


This is a typical letter. You have to add your company's name with full address. And the receiver's name and full address also should be added in the place allotted for that purpose. Without those primary details no letter carries any significance. So, you are requested to provide all those important details. Failing which the letter will make a wrong impression about your company and you among the receivers of your letters.
