Letters, broadly speaking, fall into two classes: personal letters and business letters. The essential thing about the personal letters is that the language used therein should be fluent and homely, like the piece of family conversations they are intended to be. But the business letter calls for a language that is precise and a tone that is more formal than that of the personal letter. It calls, in other words, for different style, and above all, for clarity and accuracy.

Business letters are the soul of trade and commerce. Commerce and trade now-a-days have to be carried on through the medium of letters. Commercial correspondence establishes the relation of the business houses with the outside world. The drafting of business letters requires good knowledge and command over English and a fair amount of general knowledge to produce lasting impression on the mind of the addressee of the letter. Hence, for one in commerce, knowledge of drafting proper business letters is essential in order to become a successful businessman.

The success of a modern business enterprise to a large extent depends on the effective correspondence. Business letters, should be carefully written so as to be attractive, appealing and convincing. Badly worded and grammatically incorrect sentences in a letter not only fail to serve its purpose but may also cause harm to the existing reputation of a business house.

It is a fact that letter writing is an art which depends upon individuals taste, graceful style and method of expression. Yet much depends upon constant practice and application. Before writing a letter, the following points should be kept in mind.

  1. A writer should have a clear idea of the purpose of the letter and a thorough knowledge of the subject matter.

  2. He should have command over the language and adequate knowledge of grammar.

  3. He should be able to express his ideas clearly and correctly in a convincing style.

  4. He should avoid repetition of the first person. The second person has the merit of giving prominence to the reader, who is after all the more important person.

  5. He should try to be precise and specific. Brevity is the soul of wit. But clarity should not be sacrificed at the altar of brevity. Circumloculation mars the effect of the letter. Hence it should be guarded against.

A writer should take sufficient care while drafting the opening paragraph of the letter. In routine letters the opening paragraph must usually refer to the other party’s communication. In letters of quotations and particularly where the offer is voluntary, a special effort should be made in the opening paragraph to gain reader’s interest.
