Office of Dy. Commissioner Commercial Taxation
Bombay Road
Hyderabad (A.P)

Date : 27th September - 2007 : KB /14/15/2007

For : all the members of the staff including the officers

All the members of the staff including the officers are instructed to adhere to punctuality norms in coming to and leaving the office. Hence, everyone’s presence in the office is desired by 10.00 am positively. It has been noticed that some of the employees including the officers have become habitual of coming late and leaving the office before time that is before 5pm. This causes great iconvenience to the public. It is an act of indicipline and it leads to delay in disposing off the files and hinders smooth working. Intentional delay and the practice of keeping the work pending must be stopped forthwith. All the officers and staff are, hereby, instructed to dispose off all the pending work within a week and appraise the undersingened about the progress in the matter positively on next Monday.

Non-compliance on the part of any staff including the officers shall be viewed by the undersingned seriously.

R.K. Rao
Dy. Commissioner (Administration)

This is a typical letter. You have to add your company's name with full address. And the receiver's name and full address also should be added in the place allotted for that purpose. Without those primary details no letter carries any significance. So, you are requested to provide all those important details. Failing which the letter will make a wrong impression about your company and you among the receivers of your letters. This is the most unwanted attitude on your side in dealing with the clients who are the most valued assets of any business organisation. If necessary, leave those spaces blank.
