The Body of A Business Letter :

Leave a line between the greeting and the body. The body is written as text. This is the main content of the letter. A business letter should never be hand written.

Paragraphs may be indented. Regardless of format, leave a line between paragraphs.

Include the reference.

Example : With reference to your advertisement in The Times, your letter of 23rd March/your phone call today………

The first paragraph : The first paragraph of the letter should introduce the subject matter such as the purpose of the letter to make an enquiry, complain, request something, etc.

The main body of the letter : The body of the letter should consist of one or more paragraphs. It should develop clearly and logically the arguments and facts of the case. If there is more than one paragraph, each paragraph should focus on a separate aspect of the subject matter and there should be a clear link between paragraphs.

The final paragraph : The final paragraph of a formal letter should state what action you expect the recipient to take - to refund, to send you information, etc. The final paragraph should also leave the reader in no doubt about your attitude towards the subject of the letter. It should be positive and clear.

Leave a line between the baby and the close.
