The Body of The Business Letter :

The body is the most important part of a business letter. It contains the message or information to be communicated. The matter to be written should be clearly thought out. Usually the body of the letter is divided into three parts.

1. The opening paragraph

2. The main message

3. The closing paragraph

The purpose of paragraphing is to help the writer to convey his message more clearly and thus to make things easier for the reader. Each paragraph should contain only one idea. Though there is no hard and fast rule about the length of paragraphs, yet in business letters the paragraphs should be short. The opening paragraph should be brief and should only give a reference to the letter or letters received from the addressee and may introduce the message.

The main message to be conveyed may comprise one or more paragraphs, depending upon the matter. One must avoid writing too many things in a single letter. One subject - one letter should be the guiding principle of commercial correspondence. But care should be taken to make the contents of the letter as clear as possible. Sticking to the principle of one subject one letter should not go against clarity of message.

The closing paragraph should be effective as it leaves the last impression on the mind of the reader. It should not be a mere formula of courtesy but an inducement to action.
