Computers, job search and your cover letter


So far, the Job Search Club has been developing their cover letter with the traditional paper format in mind. Lauren asked a question that brought us to our next topic : communication by computer. "Doesn't that change the whole ball game?" asked. "Not really," I replied. "It's more like playing baseball on Astroturf in a domed stadium rather than on grass in a traditional ballpark."


Lauren and the Job Search Club wanted to be convinced, so I identified changes computers are making in job searches and the implications for cover letter.


Scanning


Many firms, particularly large ones, are scanning job applications in order to deal more effectively with the large volume they receive. Here is a simple but functional description of what happens.


Your resume will be read by an optical scanning device (referred to as an OCR) that stores your resume (and thousands of others) in computer memory as a data file. The traditional approach is to read applications with human eyes and file them in folders (or file them in trash cans!). In large-volume situations, scanning is not really less personal than having your resume and cover letter read by a harassed human being.


Your cover letter : Here things are a bit more uncertain. A cover letter might be scanned much like a resume. In some cases, it may be discarded.


What does scanning mean for you? As several authors have noted, it directly affects the way you write your resume, because scanners are oriented to nouns rather than verbs.


Scanning doesn't really change the substance of your letter at all. If it is scanned, it remains a partner to your resume. If it is not scanned, it probably wouldn't have been read by a human being either. Because you have already developed a prototype, the time cost for sending a cover letter is minimal. Because you don't know if your letter will be scanned, the risk of not sending it is considerable.


Harry raised a reasonable question. "Are you saying that nothing has changed because of scanning?" he asked. "No," I replied. "My point is that scanning changes mostly the way large firms store and retrieve information about job applicants. The implications for your cover letter are more limited: First, your letter should be more oriented to nouns than to verbs. Second, the use of industry or professional acronyms and buzzwords makes more sense because they help you score more "hits" during a computer search of stored applications. Third, because of the way data is retrieved by the firm, your cover letter may be read after the resume, rather than first. Even if it is read second, a well-written letter will still increase your probability of winning the job interview.
